1. Introduction

RX Sports Massage, LLC (“RX Sports Massage,” “we,” “us,” or “our”) provides sports and therapeutic massage services from our clinic at 1810 Schneidmiller Ave, Suite 231, Post Falls, ID 83854. This Privacy Policy explains what information we collect when you visit our website, book an appointment, or contact us, how we use that information, who we share it with, and the choices you have.

We have written this policy in plain language on purpose. If anything is unclear, please contact us using the details in Section 13 and we will explain.

By using our website or our services, you agree to the practices described in this policy. If you do not agree, please do not use the website or submit information to us.

2. Who This Policy Covers

This policy applies to:

  • Visitors to our website and any pages, forms, or booking tools on it.
  • People who book, receive, or ask about massage therapy services with us.
  • People who contact us by phone, email, text message, or through our website forms.

It does not cover websites or services run by other companies, even if we link to them. Those companies have their own privacy policies.

3. Information We Collect

We collect information in three ways: information you give us directly, information collected automatically when you use the website, and information we receive from third-party tools we use to run our business.

3.1 Information you give us

  • Contact details: your name, email address, phone number, and mailing address.
  • Booking details: the service you choose, appointment date and time, your therapist preference, and any notes you add when booking.
  • Payment details: a credit or debit card is required on file to hold an appointment. Card details are collected and stored by our booking and payment provider, not on our own servers. We see only the last four digits, the card type, and the transaction record.
  • Health and intake information: before your first session, and as needed afterward, we ask about your medical history, injuries, current conditions, medications, allergies, physical activity, treatment goals, and areas of pain or discomfort. We collect this so we can treat you safely and appropriately. This is sensitive information and we treat it with extra care, as described in Section 6.
  • Messages: anything you send us through the website contact form, a discovery call request, email, phone, or text message.
  • Membership and HSA/FSA information: if you join a membership plan or pay with a Health Savings Account or Flexible Spending Account card, we collect the details needed to process and document those payments. If you ask us for a receipt or documentation for your plan administrator, we will prepare it using your name, service dates, and amounts paid.
  • Reviews and feedback: if you leave a review, respond to a survey, or send us feedback, we keep what you submit.
  • Information about a minor: if you book services for a child under 18, we collect the parent or guardian’s information along with the child’s name, age, and relevant health information. See Section 10.

3.2 Information collected automatically

When you visit the website, some information is collected automatically by our website software and by Google Analytics:

  • Your IP address, approximate location (city or region), and internet service provider.
  • Device type, operating system, browser type, screen size, and language setting.
  • The pages you view, how long you stay, which links and buttons you click, the page that referred you to us, and the search terms that brought you here.
  • Cookies and similar identifiers, described in Section 5.

3.3 Information from third parties

  • Booking platform: when you book online, our booking provider shares your appointment and contact details with us so we can prepare for your visit.
  • Review platforms: our website displays public Google reviews through a review-widget service. We receive the review text and reviewer display name as shown publicly.
  • Healthcare providers: if you ask a physician or other provider to send us a Letter of Medical Necessity, referral, or clearance, we will keep that document in your file.

4. How We Use Your Information

We use your information only for reasons connected to running our practice and serving you. Specifically, we use it to:

  • Schedule, confirm, remind you about, reschedule, and cancel appointments.
  • Plan and provide safe, effective massage therapy based on your health history and goals.
  • Keep accurate treatment notes, as required by Idaho massage therapy licensing rules.
  • Process payments, apply cancellation or no-show fees when our policy applies, manage memberships, and issue receipts or HSA/FSA documentation on request.
  • Respond to your questions, discovery call requests, and messages.
  • Send service-related messages such as appointment reminders, schedule changes, policy updates, and follow-up care instructions.
  • Send occasional promotional messages about new services, memberships, or offers, but only if you have agreed to receive them. You can opt out at any time (see Section 9).
  • Understand how people use our website so we can improve its content, speed, and design.
  • Protect our business, staff, and clients, including preventing fraud, enforcing our Terms of Service, and handling disputes.
  • Meet our legal, tax, licensing, and insurance obligations.

We do not sell your personal information, and we do not use your health information for advertising.

5. Cookies and Analytics

5.1 What cookies are

Cookies are small text files placed on your device by a website. They help the site remember your settings, understand how it is being used, and keep certain features working.

5.2 Cookies we use

  • Essential cookies: needed for the website, contact forms, and booking widget to work. These cannot be turned off without breaking parts of the site.
  • Analytics cookies: set by Google Analytics (loaded through Google Tag Manager) to tell us how visitors find and use the site. Google Analytics assigns a random identifier to your browser and records pages viewed, session length, device details, and approximate location. We use this data in aggregate and do not use it to identify you personally.
  • Security cookies: our forms are protected by Google reCAPTCHA, which uses cookies and device signals to tell humans from automated bots.
  • Third-party widget cookies: the embedded booking tool, review widget, and Google Maps may set their own cookies when they load. These are governed by those providers’ policies.

5.3 How to control cookies

  • You can block or delete cookies in your browser settings. Most browsers let you refuse all cookies or warn you before one is set.
  • To stop Google Analytics from tracking you across all websites, install Google’s browser add-on at https://tools.google.com/dlpage/gaoptout.

Blocking cookies may cause some features, such as online booking, to stop working.

6. How We Protect Your Information

We take reasonable steps to protect your information from loss, misuse, and unauthorized access. These include:

  • Serving our website over an encrypted HTTPS connection.
  • Hosting the website with a managed WordPress provider that maintains firewalls, malware scanning, and regular backups.
  • Using a booking and payment provider that is PCI DSS compliant, so full card numbers never touch our own systems.
  • Limiting access to client files to licensed therapists and staff who need them to provide care or run the business.
  • Keeping paper intake forms and treatment notes in a locked location and electronic records behind password protection.
  • Protecting our online forms with reCAPTCHA to reduce spam and automated attacks.

Your health information is kept confidential. We do not share it with anyone outside our practice except as described in Section 7, with your written permission, or when the law requires it. As a private-pay practice that does not bill insurance electronically, we are generally not a “covered entity” under the federal HIPAA law, but we apply confidentiality standards consistent with Idaho massage therapy regulations and professional ethics.

No method of storage or transmission over the internet is completely secure. We cannot guarantee absolute security, but we will notify you as required by law if a breach affects your information.

7. Who We Share Information With

We share information only when needed to run the practice. We never sell it. The categories of recipients are:

  • Booking and payment provider (MassageBook): handles online scheduling, appointment reminders, card storage, and payment processing. MassageBook’s privacy policy applies to the information you enter into its widget.
  • Google: provides Google Analytics and Google Tag Manager (website analytics), reCAPTCHA (form security), and Google Maps (the embedded map on our website). Google processes technical data such as IP address and browser information under its own privacy policy.
  • Review widget provider (Trustindex): displays our public Google reviews on the website and may load cookies or scripts when you view them.
  • Website hosting and maintenance providers: our hosting company and the web agency that maintains the site may access site data while doing their work, under confidentiality obligations.
  • Email, text messaging, and office software providers: tools we use to communicate with you and store business records.
  • Professional advisors: accountants, lawyers, and insurers, when needed for tax, legal, or insurance matters.
  • Other healthcare providers: only with your written consent, for example if you ask us to coordinate care with your physician, chiropractor, or physical therapist.
  • Government and legal authorities: when required by law, subpoena, court order, licensing board investigation, or to protect someone’s safety.
  • A successor business: if RX Sports Massage is sold, merged, or transferred, client records may transfer to the new owner, who must honor this policy.

All service providers are permitted to use your information only to perform services for us.

8. Third-Party Links and Embedded Content

Our website links to and embeds content from other companies, including the booking widget, Google Maps, and review displays. When you interact with that content, the other company may collect information about you directly. We do not control those companies and are not responsible for their privacy practices. We encourage you to read their policies:

9. Your Choices and Rights

You have the following choices regarding your information:

  • Access and copies: you can ask to see the personal and health information we hold about you and request a copy.
  • Correction: you can ask us to fix information that is wrong or out of date.
  • Deletion: you can ask us to delete your information. We will do so unless we are required to keep it, for example treatment records that Idaho licensing rules or tax law require us to retain.
  • Marketing opt-out: you can stop promotional emails by clicking “unsubscribe” in any message, stop promotional texts by replying STOP, or simply tell us. Service messages such as appointment reminders will continue while you have an active appointment or membership.
  • Cookies and analytics: see Section 5.3.
  • Withdrawing consent: where we rely on your consent, you can withdraw it at any time. This does not affect anything done before you withdrew.

To make a request, contact us using the details in Section 13. We may need to verify your identity before acting. We will respond within 30 days in most cases and will not treat you differently for exercising your rights.

If you live in a state with its own consumer privacy law (such as California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, or Montana), you may have additional rights under those laws. We will honor valid requests under any applicable law. Many of these laws exempt small businesses; we will tell you if a particular law does not apply to us.

10. Children and Minors

Our website is not directed at children under 13, and we do not knowingly collect personal information from them online. If you believe a child under 13 has submitted information through our website, contact us and we will delete it.

We do provide massage therapy to minors under 18 with the written consent of a parent or legal guardian, who must be present at the first appointment and available as required by clinic policy. The parent or guardian provides the child’s health information and is responsible for keeping it current.

11. How Long We Keep Information

  • Treatment records and intake forms: kept for at least 5 years after your last visit, or longer if required by Idaho law or our insurer. Records for minors are kept until at least 5 years after the client turns 18.
  • Payment and membership records: kept for 7 years for tax and accounting purposes.
  • Contact form messages and emails: kept for up to 3 years unless they become part of your client file.
  • Website analytics data: Google Analytics retains user-level data for up to 14 months; aggregated reports may be kept longer.
  • Marketing lists: kept until you opt out or the list becomes inactive.

When information is no longer needed, we delete it or make it anonymous so it can no longer identify you.

12. Other Information

12.1 Text messages

If you provide a mobile number, we may send appointment confirmations and reminders by text. Standard message and data rates may apply. Reply STOP to any message to opt out of texts, or HELP for assistance. Opting out of texts may mean you receive reminders by email or phone instead.

12.2 Do Not Track

Some browsers send a “Do Not Track” signal. There is no industry standard for responding to these signals, and our website does not currently change its behavior when it receives one. You can use the cookie controls in Section 5.3 instead.

12.3 Data location

We are located in the United States and store information here. Some service providers may process data in other countries under their own safeguards. Client records from our former Selma, Texas location have been transferred to our Post Falls, Idaho clinic and are protected under this policy.

12.4 Security cameras and premises

Our clinic may use security cameras in public areas such as the entrance and reception. Cameras are never placed in treatment rooms, changing areas, or restrooms.
